Healthcare · Power Apps · Rapid Compliance Response

An audit app built in 12 hours. Because the deadline was real.

A care provider received an urgent compliance request from a government healthcare agency: review hundreds, almost thousands, of historical shifts on a closing timeline. We built and deployed a custom Power Apps solution in under 12 hours. Connecting disconnected systems and turning a manual audit into a fast, reviewable, risk-rated workflow.

The Challenge

Large scope. Tight timeline. Fragmented data.

The scope was large, the timeline tight, the data fragmented. Relevant information lived across scheduling, billing records, shift notes, staff records, service records, business unit ownership, email context, and manual spreadsheets.

Some structured. Some free-text. None of it designed to work together.

Why Manual Failed

Manual review would not scale.

Without automation, the organisation would have needed large numbers of staff manually searching records, comparing data across systems, reading free-text shift notes, compiling evidence, assigning owners, and tracking follow-up.

The problem was not just volume. It was operational coordination under pressure. Speed, consistency, traceability, version control.

The solution

Three layers. One app.

01

Data connection layer

Ingest from scheduling, billing, notes, staff and service records. Structured and unstructured, unified into one shift-level view.

02

Power Apps review layer

A structured shift queue, evidence panel, risk rating, and ownership. Fast, readable, searchable. Built for business users, not engineers.

03

Action and response layer

Workflow routing, status tracking, and response-pack preparation for the agency.

How it ran

Six stages. Closing window.

01

Agency request received

A time-sensitive request requiring rapid review of a large volume of historical shifts.

02

Disconnected data identified

Relevant data across multiple systems and formats, structured records and unstructured notes.

03

Data unified

We connected the data into a custom Power Apps solution: one operational view for review teams.

04

Review and risk triage

Business units could find, assess, and risk-rate shifts that may have had incorrect billing shift notes.

05

Business unit actioning

Findings recorded, owners assigned, evidence attached, items progressed toward completion.

06

Agency response prepared

A structured, evidence-backed response to the government healthcare agency.

Before. Manual, fragmented

What the work looked like.

Manual searching across systems
Spreadsheet-heavy review
Unstructured notes hard to assess
Limited visibility of ownership
Slow business unit coordination
Hard to prioritise risky shifts
High resource burden
Agency response difficult to assemble
After. Coordinated, response-ready

What the work became.

Centralised Power Apps review interface
Connected structured + unstructured data
Readable shift-level view
Risk-rated queue
Business unit action tracking
Evidence and review notes captured
Faster coordination
Response-ready reporting

"The value was not just speed. It was turning a high-pressure compliance request into a structured, auditable, action-oriented workflow."

Engagement principle, rapid compliance response
The Outcome

Human oversight preserved. Manual burden removed.

Automation did not remove human judgement. It reduced the time spent finding and organising information so people could focus on assessment, action, and response.

Final compliance judgement remained with authorised business and compliance stakeholders.

Custom Power Apps solution deployed within 12 hours
Multiple disconnected systems connected
Structured and unstructured data unified
Risk-rating workflow created
Business unit action tracking enabled
Agency response preparation accelerated
Manual audit burden materially reduced
Human oversight preserved for final assessment
